Contract Parties and Attendees

Contract attendees are the users who will have access to the contract in their Contract Management Inbox. A party is a group of contract attendees. Usually a party represents a company or a department. Contract attendees can modify and delete contracts. If you want to include bidders as attendees so that they can receive emails via a contract trigger, you can add external users as attendees but they won't have access to Contract Management and cannot view or modify a contract.

»To add a party

    1. Click on the toolbar to open the Companies and Users window.
    2. Navigate through folder hierarchies and select a company.
    3. Click OK to return to the Contract Attendees window with the company under the appropriate heading (Internal or External). The party name defaults to the company name but you can rename it for the context of the contract by selecting the party and clicking the Rename button on the toolbar. Contract Management will prompt you to enter a name for the contract party.

»To add an attendee

    1. Select the party where you want to add the attendee on the Contract Attendees page.
    2. Click on the toolbar to open the Companies and Users window.
    3. Select a company to show the users who are members of the company at the bottom of the window.
    4. Select the user you want to add.

    1. Click OK to return to the Contract Attendees window showing the selected attendee.
    2. Select the attendee, click the Access button on the toolbar, and choose a contract role to assign to the attendee. Generally, administrative roles allow editing of information and spectator roles allow attendees to view information but each role can be configured with specific permissions. Each contract has one attendee who is the designated "owner" of the contract. A contract owner receives all email and label triggers for his or her contracts. You can sort contracts by owner. You can also search and filter by owner name.

»To change the contract owner

On the Contract Attendees window, select the new owner from the list of Attendees, click the Access button on the toolbar and choose Owner from the dropdown menu. (Owner) is displayed next to the user who has been assigned the owner role.

Navigating Contract Properties

The Contract Properties window includes several pages for editing and managing contract elements. Use the navigation pane on the left to go directly to a specific page or use the Back and Next buttons at the bottom of the window to navigate through each page in order.
